The Deutsche Gesellschaft fuer Technische Zusammenarbeit (GTZ) GmbH is a government-owned international cooperation enterprise for sustainable development with worldwide operations. On behalf of the German Ministry of Economic Cooperation and Development (BMZ), GTZ-Bangladesh provides technical cooperation to the Second Urban Governance and Infrastructure Improvement (Sector) Project, UGIIP-2, of the Government of Peoples Republic of Bangladesh. GTZ works in partnership with the Local Government Engineering Department (LGED) of Ministry of Local Government, Rural Development and Cooperatives (LGRD & C). GTZ focuses on the improvement of urban management and promotes socially inclusive cities through participatory and comprehensive urban planning in Pourashavas. It also aims at contributing to the national policy dialogue on good urban governance.
GTZ invites application from qualified candidates to fill 01 (One) position as Secretary to be based in Dhaka. The incumbent will be responsible for providing direct support to the Project Support Manager, Administration Officer and other concerned GTZ officials in order to ensure the smooth functionality of the project.
A. Responsibilities
The incumbent shall be responsible for but not limited to the following:
- Maintain an overall good flow of communication and information between the Project Implementation Unit (PIU) and the Project Management Unit (PMU) in Dhaka.
- The daily operational execution of all project/programme affairs,
- Filing of documents and brochures according to GTZ procedures,
- Assisting the Administrative Officer in his/her administrative duties (travel claims etc.)
- Any other tasks assigned by the GTZ Principal Adviser
B. Tasks
- Assist in the logistical management and documentation of meetings, workshops, seminars and other project activities inside and outside the office
- Attend internal team meetings/workshops and prepares the meeting minutes
- Support the logistics of visitors’ programmes, make travel arrangements and manage travel requirements (tickets, flight and hotel booking, transport, etc.)
- Coordinate and monitor time schedules and maintain appointment schedules and field travels of Advisers and other project officials
- Maintain an inventory of project equipment in the PIU
- Report damages of office equipment to project administration and organise and follow-up the proper maintenance and repair
- Establish and/or update index of, and data on, contact addresses, phone/fax numbers and e-mail-addresses regularly
- Assist in setting up and maintain a filing system in office, and seeing to it that information is kept confidential, particularly in the field of personnel and finance
- Performs basic management of the IT system in the office with the support of the IT Unit.
C. Required Entry Qualifications and Competencies
Formal Education: Bachelors degrees in any discipline
Professional Experience: At least 3-5 years of professional working experience in a similar position
Other Qualifications
- Good working knowledge of communication systems (telephone, fax, e-mail, internet and its software)
- Good working knowledge of computer programs (e.g. MS Office)
- Excellent Bangla and English skills
- Excellent management and administrative skills
